- Programs cancelled due to insufficient enrolment or instructor availability will be fully refunded

- A $20 cancellation/$10 transfer fee is charged for each activity/program cancellation or transfer.
- The administration fee is not applicable on refunds due to enrollment quotas.
- All cancellations/transfers must be received in writing, by Sport & Recreation Services before consideration.
- Cancelling within 7 working days and 1 working day prior to the commencement of the activity/program will result in a 50% refund of original registration fee – materials portion of registration will not be refunded.
- Refunds/transfers will not be considered from 1 day prior to the commencement of the activity/program.
- Refund requests received after the start of the activity/program will be considered on an individual basis. These requests need to go to the appropriate program supervisor for approval.
Membership Cancellation
- Memberships are non-refundable
- Extenuating circumstances will be taken into consideration by the Customer Service Coordinator (cancellation fee will apply).
- Sudden relocation
- Medical reasons

Some specialty program registrations have cancellation policies that differ from the default policy, please refer to your confirmation email for any specific differences.
- Children under the age of 3 are admitted at no charge.
- Children under 8 yrs old must be directly supervised (within arms reach) to use the Pool.
- Children aged 3-13 yrs old must be supervised to use the Triple Gym and indoor Track.
- Children aged 13 yrs old must be directly supervised to use the Fitness Centre.
- Children over 14 yrs old do not have to be supervised to use the Climbing Wall (must meet Climbing Wall Requirements).
- Youth aged 14 & 15 yrs old may use entire facility unsupervised (must meet Fitness Centre requirements).
- Youth aged 16-17 yrs old; adult supervision is not required.

NOTE: Supervision is the responsibility of the adult user who has brought a child.
- This is defined as participating in, or directly supervising, any given activity with the child.
PURPOSE:
This policy aims to clarify facility booking requirements for private businesses and organizations not affiliated with the University of Lethbridge staff but seeking to rent our facilities for providing instruction and running their programs.
A. GENERAL REQUIREMENTS
For all facility rentals where external organizations provide recreation or training programs within the University of Lethbridge recreation facilities, the following conditions must be met:
- Horns Recreation administration will review each request to determine if the program conflicts with the services provided by Horns Recreation and aligns with the mandate of Horns Recreation & Athletics.
- All businesses, organizations, and individuals renting and conducting programs in our facilities (providing coaching, teaching, leadership) are required to maintain General Liability Insurance ($2,000,000) covering liability arising from the group’s activities. A certificate as evidence of coverage shall be provided to the University.
- Groups must assume responsibility for providing adequate supervision, facility cleanliness, and general order while using the facilities and assume full responsibility for the health and safety of all activity participants.
- In some instances, appropriate certification will be required for the instruction of specialized activities that require trained staff to safely instruct and supervise the activity.
B. PRIVATE BUSINESS RENTALS (GROUPS)
Most recreation programming conducted in the facilities at the University of Lethbridge is provided by Horns Recreation. These instructors work on behalf of the University.
For the purpose of operating a business in the Centre for Sport and Wellness, as non-University of Lethbridge employees, and generating revenue through the registration of program participants in a recreation or training program, the following will apply:
- All the general requirements listed above will apply, including the submission of proof of qualifications by the specified instructors.
- An explanation of the activities to be performed, equipment required, and space used will be submitted with the request.
- The maximum number of participants will be determined by Horns Recreation based on the time of day selected and the desired location of the programming.
- Solicitation of business on the University of Lethbridge campus is prohibited unless explicit permission has been granted. Advertising opportunities on campus may be available for a fee. For Multi-Use of an area within our facility, a reduced rental fee will apply. PLEASE NOTE: All rental fees will be negotiated based on each specific request.
C. PERSONAL TRAINING (INDIVIDUALS)
Because the University of Lethbridge, Horns Recreation & Athletics offers personal training services within our facilities, only those persons with proper authorization and under contract with the University will be allowed to provide Personal Training within our facilities.
- All requirements stated above (including qualifications, insurance, etc.) must be met for those individuals providing these services.
- A written contract must be signed with Horns Recreation. All personal training consultation times must be reported, as well as facilities booked, and included in the facility booking contract.
- In some cases, negotiations on rental fees will be considered for group training for sport organizations or specialized training camps during a defined period. This could include a membership-type arrangement with Horns Recreation.
